Executive Assistant/ Secretary

• Manage and coordinate multiple extremely active calendars concurrently and ensure schedules are followed and respected. • Serve as Office Manager; supervise the Receptionist, order, and maintain office supplies and inventory, write, and edit business correspondence, and create and organize confidential files. • Manage and prioritize our partners’ schedules to ensure that their time is focused on critical, strategic issues and running errands. • Prepare and maintain MD's expense claims on a monthly basis. • Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions. • Coordinate communications, track and follow up on requests, and identify those of importance which require immediate attention. • Coordinate events, meetings conferences, seminars, workshops, and management strategic workshops, for the MD and the Executive Heads. • Drafting correspondence, document control, ensuring document confidentiality. • Perform a variety of accounting activities, such as preparing between 10 and 20 check requests, expense reports, purchase orders, and invoices each week. Ensure and maintain confidentiality of all communications and documentation. • Create purchase requisitions, ensure invoices are approved and processed on time via SAGE as well as to ensure weekly invoice register is submitted to finance. • Administration of company tools such as company phones, SIM cards, and ICT equipment. • Develop and maintain accurate records using spreadsheets of all company fleet assets and associated programs as directed by the fleet manager. • Enter new information and all updates into databases and spreadsheets; track and process all asset transfers, acquisitions, sales, and disposals. • Distribute truck registration paperwork to field locations and complete basic CARS (capital acquisition requests) for asset acquisition.
